Reservation Policy

Please be aware that making reservations online is request to book only. We will check our calendar for the time frame you have requested and advise you of our availability. We will contact you within 24-hours if we are unable to accommodate your request. Upon confirmed availability of your requested reservation, one night’s average rate and taxes will be charged. That charge will be the acknowledgement that the reservation is confirmed. The balance due for your room(s) will be due upon check-in. Please see cancellation policy for details.
We require a minimum of two-nights and up to five-nights to be booked, depending on time the time of year.

Bay Hill Mansion will give priority to multiple night stays on Holidays & weekends. Unreserved guestrooms may be released prior to an upcoming weekend to accommodate overnight (1 night) stays so those wanting shorter stays should check back at the beginning of the week or as that weekend approaches. (Please refer to the current-year Holiday Calendar listed below.)

CHECK IN/OUT POLICY:
Check-in: 4:00 PM – 7:00 PM. If arriving outside of check-in times, please call to make arrangements. At check-in please be prepared to provide the credit card on which the room was reserved and a valid corresponding US driver’s license. Please note: Check-in BEGINS at 4PM.

Check-out: 11:00 AM. Late check out may be available; please inquire at your earliest convenience. Additional charge of $30/hr after 11am may be applied to allow for housekeeping to be performed outside of regular hours.

NO-SMOKING: Per California law, absolutely no smoking inside; however, designated outdoor smoking areas are available.

PEACEFUL COEXISTANCE: Our primary goal is to provide the most relaxing, luxurious and restorative stay for all guests. In order to preserve a peaceful and respectful environment for guests and staff, management reserves the right to refuse service and / or lodging to any party at any time. If such action is deemed necessary by management, any and all cancellation applicable fees described in the Cancellation Policy section will be charged and no voucher or refund will be issued. If the offending party is present at Bay Hill Mansion when such a determination is made, he / she / they agree to leave the property immediately and without incident.

DAMAGES: All guests accept responsibility for exercising ordinary care in and around the property. Bay Hill Mansion is a place of enjoyment of quiet as well as luxury linens, fine furniture and original art. Extraordinary damages, usage or intentional damages will be the responsibility of the guest on whose card the room has been reserved. Rooms are closely inspected prior to any occupancy. Please report any damage. The management reserves the right to decide what constitutes extraordinary damage or usage and the cost of repairs or replacement.

DOG POLICY: Guests must confirm via phone if you're seeking a room that is pet friendly prior to making a reservation. Only one dog-friendly suite is available so please inquire when making reservation about availability and compatibility with 1 Basenji dog who live onsite. Visiting Pets are the responsibility of the guests and must be well behaved. Owners of the visiting pets must remain with pets while on premises. A pet sitting service provider may be arranged in advance if there's a need to go out while your pet remains behind (and in good hands) An additional cleaning fee of $65.00 (USD) per visit will be assessed. Any damage and or stains are the responsibility of the visiting pet owners. These damages will be handled on a case-by-case basis but please expect to bear some costs if your pet is feeling out of his or her element and decides to let you know he/she's still in charge. If you're planning on visiting with your pet you must speak with Bay Hill Management before making a reservation. Prior to reserving accomodations you are responsible to familiarize yourself with Rules for Fido found in PDF on this website. Please download, sign and return Rules for Fido PDF prior to check-in. If you need a copy sent to you, please make this request by emailing res@bayhillmansion.com and one will be sent as soon as possible. Thank you for keeping Bay Hill Mansion a pet friendly sanctuary.

CHILDREN: Children 14 years of age and older are welcome. Unfortunately, due to safety and health concerns exceptions cannot be made. If you arrive with a child or children under the age of 14 we will be happy to make the initial calls for you to find other accommodations locally, however, we make no guarantee that other arrangements can be made and your reservation with us will be cancelled. (Please refer to our Cancellation Policy below.) Please make clear on your reservation request under comments if you're traveling with children. We will read all comments for those bookings made online.

TWO ADULTS PER ACCOMODATION: Management reserves the right to protect the peace and enjoyment of the property for all parties. Failure to notify Bay Hill Mansion of additional occupants to the rooms will void or effectively cancel your reservation. (Please refer to our Cancellation Policy below.)

GIFT CERTIFICATE POLICIES: All Certificates issued by Bay Hill Mansion are accepted at face value until expiration, subject to availability and the terms and conditions of Bay Hill Mansion. We gladly accept most third-party gift certificates. We accept up to one-half of the total amount of your stay in third-party certificates. Gift certificates must be presented at check-in along with a valid driver’s license. Gift certificates are not transferable and in some cases cannot be combined. Any remaining amount on gift certificates cannot be redeemed for cash. If using a Gift Certificate, and reservation is canceled, your certificate will be considered redeemed. Sorry, no exceptions. Please try to redeem Gift Certificates in a timely manner. No extensions past expiration date can be made.

SPECIAL EVENT OR WHOLE-HOUSE BOOKINGS: Your credit card will be charged for one half (1/2) of your stay as a deposit at time of booking. A sixty (60) day cancellation notice is required on whole-house bookings, reservations and for holidays / special events. Please email us at least sixty (60) days prior to your arrival date to cancel or move your reservation and we will refund your deposit less a $100 processing fee. If you cancel within 60 days of your arrival date, regardless of the circumstances, you will be charged in full for your entire reservation at the time of cancellation. Should this occur, we may issue a voucher valid for one year good towards a future stay. The voucher will be in the amount of one half (1/2) of your total cancellation charges. Reducing the length of stay or an early departure within 60 days of your arrival is considered a cancellation. Upon receipt of an email indicating a prospective guest’s desire to cancel a reservation, without exception, that reservation is cancelled and this policy applies.
Any deposits are forfeited if cancellation is not received within policy guidelines or are cancelled by management per our peaceful coexistence policy. If using a Gift Certificate or a voucher and your reservation is canceled, your certificate / voucher will be considered REDEEMED.

CANCELLATION POLICY: Bay Hill Mansion is an exclusive property where every guest’ reservation is both important and special to us. Due to the small size of our inn, we are greatly affected by untimely cancellations so we firmly adhere to the following cancellation policy. No exceptions.
Your card will be charged for your stay upon arrival (or earlier if cancellation fees apply.) If your travel plans change and you must cancel your reservation, you must email us at least twenty-one (21) days prior to your arrival date to cancel your reservation. You have until 21 days prior to your arrival to cancel or move your reservation. If you cancel within 21 days of your arrival date, and before your arrival, regardless of the circumstances, you will be charged in full for your entire reservation. Should this occur, we may issue a voucher valid for 6 months good towards a future stay. The voucher will be in the amount of one half (1/2) of your total cancellation charges. Reducing the length of stay or an early departure within 21 days of your arrival is considered a cancellation. Upon receipt of an email indicating a prospective guest’s desire to cancel a reservation, without exception, that reservation is cancelled and this policy applies. If cancellation is the result of management’s right to refuse service and / or lodging or after the guest has arrived and commenced the stay, any and all applicable fees will be charged and no voucher or refund will be issued. Likewise, if guest does not notify Bay Hill Mansion and does not show, any and all applicable fees will be charged and no voucher or refund will be issued. Again, due to the small size of our inn, cancellations affect us significantly; therefore, we must hold firmly to our cancellation policy. If your reservation is cancelled more than 21-days prior to your arrival, all deposits will be refunded.

If Bay Hill Mansion closes due to inclement weather, natural disaster and or otherwise cancels any existing reservation, the named guest will be notified as soon as possible. If for any of these reasons Bay Hill Mansion cancels a reservation, any paid deposit will be refunded. If possible Management will seek to place guests in other accommodations in the Bodega Bay area, however, there is no guarantee of replacement accommodation. In case of cancellation of a reservation by Bay Hill Mansion, guests agree to indemnify and hold harmless Bay Hill Mansion, it’s owners and agents, of and from any and all claims, demands, losses, causes of action, damage, lawsuits, judgments, including attorneys' fees and costs, to the extent caused by or arising out of or relating to a cancellation initiated by Bay Hill Mansion, its management or owners. In no event shall the maximum liability hereunder exceed the amount actually paid to Bay Hill Mansion by the party at the time of the cancellation.
